Nominations are open for the South West Regional Group 2016 Committee Monday, 02 November 2015

Engineers Australia South West Regional Group will host their Annual Group Meeting (AGM) on Friday 27 November where the committee for the 2016 calendar year will be selected.

Nominations are now open for the following committee positions:

Position Tasks
Chair
  • Presides over committee meetings
  • Participates in Victorian Regional Chairs monthly teleconferences 
  • Liaises on behalf of committee with Victoria Division Committee
  • Assists with event organisation
Deputy Chair
  • Stands in as Acting Chair when required
  • Performs the role of General Committee Member when not Acting Chair 
Secretary
  • Records and documents minutes of committee meetings
  • Handles incoming and outgoing correspondence on behalf of the committee 
  • Assists with event organisation
Treasurer
  • Maintains annual budget and budget records
  • Assists with event organisation
Young Engineers Representative
  • Provides a point of contact for Young Engineers Australia - Victoria (YEAV)
  • Arranges events specifically aimed at Young Engineers
  • Assists with other event organisation
Women in Engineering Representative 
  • Provides a point of contact for Women in Engineering (WiE)
  • Arranges events specifically aimed at WiE
  • Asssts with other event organisation
General Committee Member
  • Assists with event organisation

The committee will consist of a maximum of eight members and a minimum of five. All those elected will assume their respective positions on 1 January 2016.

Term

Under the Terms of Reference for the Engineers Australia South West Regional Group, the term for each position will be a minimum of one year and a maximum of two years. At the expiry of the term, individuals may renominate for positions.

Time Commitment

The committee will meet at least bi-montly to conduct the various roles of the committee. In addition the committee will arrange events for the South West Regional Group from time to time. All tasks are performed on a voluntary basis with the guidance of Engineers Australia Victoria Division.

Conduct of Election

At the Annual Group Meeting, the Sitting Chairp will call nominations for an Independent Chairperson to conduct the General Election. The Independent Chairperson does not necessarily have to be a member of Engineers Australia.

The Independent Chairperson will declare the Group Positions Vacant (including vacant positions).

The Independent Chairperson will advise the meeting of nominations received and if there is more than one nomination for a position, conduct a ballot in order of office, commencing with position of Chair.

Where a ballot is required it shall be by ‘secret ballot’, whereby the candidates are to vacate the room. Candidates shall be excluded from voting for a position(s) where they are nominated. The successful candidate will be that candidate with a majority of first preference votes cast, as determined by a show of hands. The Independent Chairperson will then declare the result. In cases where a candidate is nominated for more than one position, the nominee shall accept the first successful position and withdraw their application from subsequent positions.

At the completion of the election process the Independent Chairperson will call the current/outgoing Chair to take control of the meeting to conduct the appointment of the incoming committee from nominations received or offered at the meeting. They will then adjourn or close the election process.
